HVAC shops get sold software that can run a call center. A small shop's actual question is narrower. Did the no-cool call pay, did the maintenance agreement pay after the drive, and did the change-out pay after the condenser you bought? The best HVAC job costing software is the one that keeps those three from sharing a single "we had a good month" number.
Job types that match the work are Diagnostic, Repair, Tune-up, Install, Other, and Callback. This page is the HVAC version of the broader software roundup. It assumes you might already have ServiceTitan, Jobber, Housecall Pro, FieldEdge, or QuickBooks, and you still price from memory.
Rates in every table here. Labor is $45 an hour, the truck is $0.65 a mile, and overhead is $12 an hour. That $12 is a $1,920 monthly shop cost spread across 160 hours on the job. Lead cost is $0 unless the table says otherwise. These are the public calculator's starter numbers, so you can rerun every ticket. On the phone, overhead is the monthly shop cost split across hours you actually log that month, and the month stays a draft until it closes.
The no-cool call
Capacitor and contactor, an hour and 15 minutes on site, 30 minutes and 16 miles of driving, $64 of parts at your cost, $385 collected. Refrigerant, if you had added any, would be in materials at what you paid, not at the pound price on the invoice.

The verdict is solid — 35%+ net. Do more of this work. This invoice is $117.08 over the 35% price. This is the shape of work described in most profitable HVAC services: a defined repair, light on equipment, honest about the drive. The click-by-click version is how to job cost an HVAC service call.
The maintenance plan, with and without the drive
A tune-up billed at $129, 45 minutes on site, a filter that cost you $8. First version: you drove 30 minutes and 12 miles for that one house.

The verdict is OK, not a winner. Fine if this is filler between high-margin installs. To hit 35% net with this cost stack, the invoice needed to be $133.92 (you charged $129.00). Second version: it is the next house on the same street. Fifteen minutes and 6 miles.

The verdict is solid — 35%+ net. Do more of this work. This invoice is $23.00 over the 35% price. Same agreement price. The drive is the product design. Software that omits miles will tell you the plan "averages out." These two tickets do not average out. They are 32.5% and 46.6%.
The install, with a helper who is not a second login
Condenser replacement, $8,200.00. You are on site 8 hours, drive an hour and 28 miles, the equipment at your cost is $4,100.00, the permit is $125.00, and a helper costs $220.00 for the day. That helper figure is other direct cost, because the log has one labor rate. Profit per hour uses the 9 hours you typed for yourself and the drive, so it looks strong. Read it as your hours, with the helper already subtracted as cash.
Change-out, helper in other direct

The verdict is solid — 35%+ net. Do more of this work. This invoice is $544.31 over the 35% price. A suite that tracks two technicians on the clock is better at crew time. It is only better at margin if both clocks, the condenser cost, and the permit get entered. Buying the suite to avoid typing the condenser cost does not create the cost.
Where each kind of software fits
- ServiceTitan, Jobber, Housecall Pro, FieldEdge. Buy one if the unsolved problem is the board, the membership list, and the invoice. Costing inside them is a report. Diagnostic, tune-up, and install still need drive time and your cost on equipment.
- QuickBooks. Keep it for the ledger. A change-out's bill of materials can live on a project. The tune-up's 30-minute drive will not. QuickBooks versus a costing log is that split.
- A spreadsheet. Fine for a week, painful for a season of maintenance. The sheet does not ride in the van.
- A costing log. The right add-on when invoices already go out and the three job types are still a blur. It will not dispatch the maintenance route for you. Cluster the route yourself, then let the two tune-up tables tell you if the price survived the windshield.
MarginMate records the ticket. It does not send the invoice, build the day's board, or sync a journal entry into QuickBooks. One labor rate applies to the job. If a second person is on the tools, put their pay in other direct costs or use a blended rate and say so in the note you keep for yourself. An optional phone number can sit on the job. Sending texts is not part of this costing loop.
What to put in a one-week trial
Cost a no-cool repair, a tune-up you drove across town to do, a tune-up that was next door, an install with the real equipment invoice, and a callback you covered under a warranty. If the tool has nowhere for refrigerant at your cost, nowhere for the helper, and nowhere for a $0 warranty visit, the HVAC reports will flatter the installs and hide the plan.
Small shops do not need every module in a suite to learn those five tickets. They need the five tickets, the same way, this week.
Frequently asked questions
What is the best HVAC job costing software for a small shop?
The one that costs a diagnostic, a tune-up, and an install with the same fields: time at the job, drive, miles, refrigerant and parts at your cost, permits, a helper if you had one, and overhead. A full suite is the right buy when you still need dispatch and invoicing. It is the wrong first buy when those exist and you still cannot see the tune-up's margin.
How do you cost a two-person install in a one-rate log?
The phone keeps one labor rate per job. Put the helper's pay in other direct costs, or enter combined person-hours at a blended rate. Profit per hour then describes the hours you typed. Say which method you used so next month's install is comparable.
Should maintenance-agreement visits be their own job type?
Yes. Use Tune-up and keep agreement visits under that label. A $129 visit with a long drive is a different business from the fourth tune-up on the same street. The type plus the drive tells you whether the plan's price works.
