An HVAC diagnostic fee is the price of finding out why it stopped, before anyone buys a capacitor, a motor, or a change-out. Shops that waive it to win the call often discover the call was the whole job. The generic version of the fee is trip charges and diagnostic fees. The repair that sometimes follows is in how to job cost an HVAC service call.
Rates in every table here. Labor is $45 an hour unless a table says otherwise, the truck is $0.65 a mile, and overhead is $12 an hour. That $12 is a $1,920 monthly shop cost spread across 160 hours. These are the public calculator's starter numbers. On the phone, overhead is the monthly shop cost split across the hours you actually log that month, and the open month stays a draft until it closes. One labor rate covers the job. A helper's pay goes in other direct costs.
What you are actually selling
Forty-five minutes at the equipment. Thirty minutes and 16 miles of driving. No refrigerant and no parts, because the fee has to stand up when they want a second opinion. On the phone, tap Diagnostic. Repair, tune-up, install, other, and callback are different tickets. A diagnostic that turns into a repair is still one visit with one invoice if you credited the fee.

| Net margin | $7.35 ÷ $89.00 | 8.3% |
| Profit per hour | $7.35 ÷ 1.25 h | $5.88 / h |

The verdict is thin — under 20% net. Travel, burdened labor, or the lead fee is eating this. A busy week of these still feels broke. To hit 35% net with this cost stack, the invoice needed to be $125.62 (you charged $89.00). Profit is $7.35. You were busy. The hour did not fund the shop. A week of $89 diagnostics, with no repair behind them, is the week that feels broke.

The verdict is solid — 35%+ net. Do more of this work. This invoice is $3.38 over the 35% price. The 35% price on this stack is $125.62, so $129 is only $3.38 over that line. It is solid, and it is not lavish. Say $129 on the phone. Collect it if they stop at the diagnosis. Credit it if they approve the repair today.
The fee at a $65 burdened hour
HVAC labor is often above the $45 starter, once the truck, the benefits, and the hours you cannot bill are in the rate. The public calculator can take a paycheck wage and multiply by 1.6. The phone uses whatever you saved in Settings.

The verdict is thin — under 20% net. Travel, burdened labor, or the lead fee is eating this. A busy week of these still feels broke. To hit 35% net with this cost stack, the invoice needed to be $164.08 (you charged $129.00). The fee that looked solid at $45 is thin at $65. That is the whole method. Pick the rate you believe, then pick the fee. Do not pick the fee because a competitor's coupon said $89.
When the diagnostic becomes the repair
They approve the work. You promised the diagnostic would apply. The invoice is $385, not $385 plus $129. Parts at your cost are $64. Time on site grows from 45 minutes to an hour and a quarter because the repair took longer than the test.

The verdict is solid — 35%+ net. Do more of this work. This invoice is $117.08 over the 35% price. This is a strong service ticket. It does not rescue a habit of free diagnostics that never convert. Log the declined ones too, at the fee you actually collected or at zero if you waived it. The conversion story is only visible if the declined visits have rows.
Most profitable HVAC services is the mix. HVAC profit margin is the benchmark. A diagnostic fee is the gate in front of both. The HVAC page is the log you keep after the conversation in the driveway.
How to keep the booking and the margin
- Lead with the work: a technician, a diagnosis, and a price before any parts are sold.
- Name the fee in the first conversation. A fee introduced after the measurements is an argument.
- Membership and maintenance plans can include a discount on the diagnostic. Cost the plan visit on its own, with its own drive. A free diagnostic buried inside a cheap plan is a discount you did not measure.
- After hours is a different rate and a different fee. Do not let the daytime table approve a Sunday roll.
Customers who want the house cool will pay a clear diagnostic. Customers who want a free guess will not, and those calls were expensive before you bought the part.
Frequently asked questions
What should an HVAC diagnostic fee cover?
Time at the equipment, time in the van, miles, and overhead on those hours. Refrigerant and parts belong on the repair if they approve it. A diagnostic that includes an hour of leak search needs that hour in the fee or in the repair, not in a hope.
Should the diagnostic fee come off the repair?
If you said it applies, the repair invoice is the whole price and the fee is not added again. Enter one revenue number for the visit.
Is $89 enough for an HVAC diagnostic?
On 45 minutes at the unit, 30 minutes and 16 miles of driving, and a $45 rate, $89 is thin, under 20% net. $129 on the same stack clears 35%. At a $65 rate, $129 becomes thin.
How should a maintenance-plan visit be different from a diagnostic?
A plan visit is a tune-up you already priced. A no-cool diagnostic is a different job type. Cost them separately. A plan price that assumes the customer is next door will not survive a real radius.
